RoofPass Pro — Terms and Conditions

1. Introduction

Welcome to RoofPass Pro, a product owned and operated by Site Skills Passport Ltd ("we", "our", "us"). These Terms & Conditions govern your use of the RoofPass Pro web application and related services ("the Platform"). By creating an account or using our services, you agree to be bound by these terms.

If you do not agree to these terms, please do not use the Platform.

Site Skills Passport Ltd is a company registered in England and Wales. Our registered email address is support@roofpasspro.co.uk.

2. Eligibility

RoofPass Pro is a business tool. Business accounts (Owner/Admin) must be registered by an authorised representative of the company, who confirms they are 18 or over during sign-up.

Team Member accounts are added by an organisation's Owner or Admin, not through self-registration. Where a Team Member is aged 16 or 17, the inviting organisation is responsible for ensuring appropriate parental or guardian consent has been obtained before adding them, consistent with construction industry apprenticeship norms.

3. App licence

We grant you a limited, personal, non-exclusive, non-transferable, revocable licence to access and use RoofPass Pro solely for your organisation's own business purposes, for the duration of your subscription and in accordance with these Terms & Conditions.

You may not:

  • Copy, modify, distribute, sell or lease any part of the Platform
  • Reverse-engineer, decompile, or disassemble any part of the Platform
  • Use the Platform to build a competing product or service
  • Remove or alter any proprietary notices, branding, or logos

All intellectual property rights in the Platform — including the software, design, branding, logo, and content — remain the exclusive property of Site Skills Passport Ltd. Nothing in these terms transfers any ownership rights to you.

We reserve the right to revoke this licence and suspend or terminate your access at any time if you breach these terms.

4. Account registration

The account Owner is responsible for maintaining the confidentiality of the organisation's account credentials, and for all activity under the organisation's account, including actions taken by any Admin or Team Member they have invited. You agree to:

  • Provide accurate, current, and complete information during registration
  • Keep your information up to date
  • Not share individual login credentials between different people
  • Notify us immediately if you suspect unauthorised access to your account

We are not liable for any loss or damage arising from your organisation's failure to keep account credentials secure.

5. Acceptable use

You agree not to:

  • Upload false or misleading information into condition reports, permits, RAMS records, or completion sign-offs
  • Impersonate another person or misrepresent your identity, including when signing a RAMS document, permit, or completion record
  • Attempt to access accounts or data belonging to other organisations
  • Use automated systems, bots, or scrapers to access the service
  • Upload content that is unlawful, defamatory, offensive, or infringes third party rights
  • Use the Platform for any unlawful purpose

We reserve the right to remove any content that violates these rules and to suspend or terminate accounts accordingly.

6. Your responsibilities

6.1 You are responsible for the accuracy of all data entered into the Service, including condition reports, materials lists, permit details, RAMS documents, and sign-off records.

6.2 The Service is a tool to help you manage and record your health and safety and site management processes. It does not replace the judgement of a competent person, and does not by itself guarantee compliance with the Health and Safety at Work etc. Act 1974, the Construction (Design and Management) Regulations, or any other applicable law or regulation.

6.3 You remain solely responsible for ensuring that work carried out under any permit, RAMS document, or sign-off recorded in the Service is actually safe, properly assessed, and compliant with all applicable law, regardless of what is recorded in the Service.

6.4 You must ensure you have the right to upload any document (including RAMS and Spec documents) into the Service, and that doing so does not infringe any third party's rights.

7. Subscriptions & payments

Pricing tiers. RoofPass Pro is offered on the following subscription tiers, billed monthly with no per-seat or per-user fees:

  • Starter — £79/month
  • Professional — £199/month
  • Enterprise — bespoke pricing, contact us

Current pricing is also published at roofpasspro.co.uk/pricing.

Subscription terms. Paid subscriptions are billed monthly and renew automatically on the same date each month. By subscribing, you authorise us to charge your chosen payment method on a recurring monthly basis.

Cancellation. You may cancel your subscription at any time through your account settings. Cancellation takes effect at the end of your current billing period — you will retain access until then. There are no cancellation fees or penalties.

Refunds. We do not provide refunds for partial billing periods. If you cancel mid-month you will retain access until the end of that billing period but will not receive a refund for the remaining days. This does not affect your statutory rights as a consumer under the Consumer Rights Act 2015, where applicable.

Price changes. We reserve the right to change pricing with 30 days' notice via email or in-app notification. If you do not wish to continue at the new price you may cancel before the change takes effect.

Payment processing. All payments are processed securely by Stripe. We do not store your card details. By subscribing you also agree to Stripe's terms of service.

8. Data ownership

As between you and us, you retain ownership of all data you input into the Service relating to your jobs, clients, and staff ("Customer Data"). By using the service, you grant us a limited licence to store, process, and display your Customer Data solely for the purpose of providing the Service to you. This licence ends when your account is deleted.

We will not sell your data to third parties or use your Customer Data for any purpose other than providing the Service, as set out in our Privacy Policy.

On termination of your subscription, you may export your Customer Data for a period of 30 days, after which it may be deleted.

9. Service availability

We aim to keep the Service available at all times but do not guarantee uninterrupted access. Planned maintenance will be notified where reasonably possible.

10. Limitation of liability

RoofPass Pro is provided "as is" without warranties of any kind, express or implied. We do not warrant that the Platform will be uninterrupted, error-free, or free of viruses or other harmful components.

We shall not be liable for any:

  • Indirect, incidental, special, or consequential damages
  • Loss of profits, revenue, data, or business opportunities
  • Damage arising from reliance on information provided through the Platform, including condition reports, permits, RAMS records, or completion sign-offs
  • Any injury, loss, or damage arising from work carried out under a permit, RAMS document, or sign-off recorded in the Service — responsibility for the safety and legality of that work remains with you, as set out in Section 6

Our total liability to you for any claim arising from your use of the Service shall not exceed the total amount paid by you to us in the 12 months preceding the claim.

Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded under English law. This does not affect your statutory rights.

11. Complaints & dispute resolution

If you have a complaint about the service, please contact us in the first instance at support@roofpasspro.co.uk. We will acknowledge your complaint within 5 working days and aim to resolve it within 28 days.

If we are unable to resolve your complaint to your satisfaction, you may seek independent resolution through:

  • Citizens Advice — citizensadvice.org.uk
  • The courts of England and Wales

12. Intellectual property

All intellectual property in the Platform — including but not limited to the RoofPass Pro name, logo, branding, software, design, and written content — is owned by or licensed to Site Skills Passport Ltd. You may not use our intellectual property without our prior written consent.

If you believe any content on the Platform infringes your intellectual property rights, please contact us at support@roofpasspro.co.uk.

13. Account termination

We reserve the right to suspend or terminate accounts that violate these terms, with or without notice depending on the severity of the breach. An account Owner may delete the organisation's account at any time through account settings. Upon deletion, data will be removed in accordance with our Privacy Policy within 30 days.

14. Third party links & services

The Platform may contain links to third party websites or services. We are not responsible for the content, privacy practices, or terms of third party services. Your use of third party services is at your own risk.

15. Changes to these terms

We may update these terms from time to time. We will notify account Owners of material changes via email or in-app notification at least 14 days before they take effect. Continued use of the Service after changes take effect constitutes acceptance of the revised terms. If you do not accept the revised terms you may cancel your account before the changes take effect.

16. Governing law

These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of the Platform shall be subject to the exclusive jurisdiction of the courts of England and Wales.

  • Section 10 (Limitation of liability) is the priority clause — please review the added safety-specific exclusion against the existing Site Skills Passport formula it's based on.
  • Confirm company number and registered address (Section 1).
  • Confirm ICO registration ZC168090 covers RoofPass Pro's processing activities (see also the Privacy Policy note on this).
  • Confirm payment processor (Stripe, presumed, matching Site Skills Passport).
  • Confirm Team Member eligibility/consent approach given the invite-based (not self-registration) onboarding model (Section 2).
  • Confirm data export/retention period post-termination (Section 8).
